When and how do I get paid?

Your service fee is paid automatically by bank transfer at the end of each month, once you hit the payout threshold. Everything's visible in your dashboard: clients, active subscribers, pending payouts, and payment history.

What happens if a client cancels?

Accepted Answer

You stop earning from that client from the date they cancel. There are no clawbacks on payments already made.

Does this affect my VAT registration?

Accepted Answer

No. Because & Other Ways is based outside the UK, your service fee is treated as an export of services and doesn't count towards the £90,000 VAT threshold. You'll pay income tax on it as normal.

Can I add my barbers to my shop's account?

Accepted Answer

Yes, that's how it's designed to work. From your dashboard, add each barber on your team. They get their own login, their own profile, and their own bank details for getting paid. When a client signs up, they pick which barber will be doing their monthly Chairside Scan, and that barber is then linked to that client every time they come in.

How does the Chairside Scan service fee get split between me and my barbers?

You decide. The default is 60/40 in your favour as the shop owner, recognising it's your shop, your kit, and your client base. You can set it to whatever works: 50/50, 70/30, or keep the full amount if you're a solo operator. Splits are set per barber, so you can reward your top performers differently from the rest of the team.

Can I change a barber's split later?

Yes, any time, straight from your dashboard. Changes apply going forward. Anything already paid out stays as it was.

What if one of my barbers leaves the shop?

Accepted Answer

Remove them from your dashboard. The clients they were scanning stay linked to your shop, so the income keeps coming in. Get in touch with support and we'll help reassign those clients to another barber on your team for their ongoing scans.

Do my barbers need to do anything before they get paid?

Accepted Answer

Yes. Each barber needs to log in, complete their profile, add their bank details, and watch the short training videos. Once that's done, their share of the service fee lands in their account automatically each month. You don't need to handle any of it.

Do I need any medical knowledge?

Accepted Answer

No. You're not prescribing anything and you're not expected to give medical advice. Your role is to signpost a client to the consultation quiz and take their Chairside Scan photo at every haircut. That's it. A GPhC-registered pharmacist handles everything clinical.

Is this GPhC compliant?

Accepted Answer

Yes. Medicines are dispensed by a fully GPhC-registered pharmacy and reviewed by independent prescribers. Your role sits well outside any clinical activity, which is what keeps the model compliant.

What if a client has a bad reaction or it doesn't work?

Accepted Answer

You are not liable. You are sign-posting, not prescribing. The client completes a clinical questionnaire, the pharmacist reviews it, and the pharmacy dispenses. Any clinical issue goes directly to the pharmacy or our support team, never to you.

What if a client asks me a medical question I can't answer?

Accepted Answer

Don't guess. Just say: "That's one for the pharmacist. When you sign up, they'll check your answers and let you know if it's right for you." That single line keeps you on the right side of the line every time.

What can I say, and what should I avoid?

Accepted Answer

You can say it's a prescription treatment, that it takes three to six months to work, that a pharmacist reviews everything, and that you'll track their progress with Chairside Scan. Avoid anything that sounds like a medical promise, such as "this will work for you", "it's completely safe", or "you should take this". Sign-post, don't prescribe.

Is there a sign-up fee or contract?

No fee. No targets. No minimum number of clients. There's one ask: that you don't partner with another hair loss referral scheme for 18 months while we build this together. You can step back any time. We just ask you don't work with a direct competitor during that window.

What happens after I register?

You get instant access to your dashboard, where you can add your barbers, set splits, and track everything. A welcome kit (mirror stickers, posters, take-home QR cards) arrives at your shop in three to five working days.

Do I need to complete training before I can earn?

Accepted Answer

You can sign-post clients straight away. To receive your first payout you'll need to watch five short training videos (about 15 minutes total) and upload a photo showing your welcome kit on display.
